Key Takeaways
Overview
• As a growing PR agency with a Microsoft 365-based infrastructure, Oseon relied on its founder to handle all IT administration alongside his leadership responsibilities.
• After an unsuccessful attempt with a local IT provider and continued agency growth, the manual workload became unsustainable and a scalable solution was needed.
• With deeploi, Oseon now has automated onboarding, centralized device management, and responsive IT support – freeing leadership to focus on clients and strategy.
When the founder is also the IT department
IT Challenge
Tapio Liller founded Oseon 17 years ago and built the agency's IT infrastructure from the ground up on Microsoft 365. As Founder and Managing Partner, he wears multiple hats – overseeing finances, operations, and company infrastructure. For most of the agency's history, that also meant being the primary IT administrator.
The day-to-day IT workload was constant. Small requests – email aliases, distribution list changes, tool access – landed in Tapio's inbox throughout the day, interrupting higher-priority work. Onboarding a new team member meant having a second laptop open on his desk, manually installing software and configuring accounts in parallel with his regular responsibilities.
A few years ago, Oseon tried outsourcing IT to a local provider, but the arrangement didn't deliver. The provider's tooling lacked automation and visibility into Oseon's device fleet and cloud infrastructure, so the partnership ended after some time. IT responsibilities went back to Tapio. "My primary job is to run an agency and have good ideas for our clients and consult them on strategy. Being the IT admin is not the main thing I should be doing," Tapio shares.
As the agency continued to grow, the situation became unsustainable – and that's when deeploi came in at the right time.
Automated IT and always-on support with deeploi
Solution
deeploi now handles Oseon's core IT operations – from onboarding and device management to day-to-day support. Instead of routing every IT question through the founder, the team works directly with deeploi, and Tapio oversees IT through the platform rather than managing it hands-on.
HR-triggered onboarding automation. When a new employee is added to Personio, the information syncs automatically into deeploi and triggers the onboarding workflow. Tapio assigns a device, and deeploi handles the rest – accounts, software, and configurations are set up without manual intervention. New hires simply log in and follow the setup link.
Centralized device management and inventory. All devices, serial numbers, models, and operating system versions are visible in one dashboard. The platform provides full inventory transparency, including the ability to remotely lock or wipe a lost device – a capability that proved valuable when an employee lost a laptop on a Berlin tram.
Fast hardware replacement. Through deeploi's procurement partner, Oseon received a replacement MacBook within 48 hours of the lost device incident. The new laptop arrived preconfigured and ready to use.
Responsive, barrier-free IT support. The team contacts deeploi directly for IT issues, removing the bottleneck of routing requests through Tapio. Response times are fast, communication is proactive, and the support team keeps the conversation going until issues are resolved.
